Here you find answers to frequently asked questions about the WooCommerce integration and recommendations for operation. You also find explanations of individual error messages in the article Error messages and solutions.
The connection test fails. What can I check?
Check whether the URL of your shop is correct and whether you copied the Consumer Key and Consumer Secret completely. In WooCommerce, the REST API key needs the Read/Write permission. If in doubt, generate a new key under WooCommerce > Settings > Advanced > REST API and enter it in the general settings. Also check whether you are logged in to Xentral with administrator permissions.
Can I adopt my existing products from WooCommerce to Xentral?
The integration only transfers products from Xentral to WooCommerce. You transfer existing products from your shop once via CSV import: Export the products from WooCommerce as a CSV file and import them under Automation > CSV import, see the article Importing data via CSV import.
Why do meta title, meta description, or keywords not arrive in WooCommerce?
Xentral writes meta texts to the fields of the Yoast SEO plugin. Check whether the plugin is installed and active and whether the switch Transfer meta title, description and keywords? is activated in the Products workflow.
Why do I not see the transferred properties on the product page?
In the Products workflow, activate the switch Make properties visible?. The properties then appear in the "Additional information" tab of the product page.
How do I take a product out of my WooCommerce offering?
Removing a product from the product assignment alone is not enough. It remains in WooCommerce but no longer receives updates. Depending on your goal, you have three options:
-
Setting a product to inactive: The product is no longer visible to customers. Open the product, activate the option Product inactive under Details > Online shop options, and click on Save.
-
Setting the stock level to zero: The product remains visible but can no longer be ordered. In the online shop options, activate Remaining quantity (clearance sale), enter 0 as Pseudo stock number, and activate Use pseudo stock number instead of real stock numbers in the Stock workflow.
-
Deleting a product: Only for products created by mistake or for testing that do not appear in any document. For matrix products, you delete the matrix product and all variants.
We recommend not deleting products but setting them to inactive. This way, history and links are retained.
How do I stop offering a single variant?
For the variant in the product, activate the option Lock active. Leave the assignment to the matrix product unchanged. If you remove it, the product structure changes and inconsistent data is created.
My filter with a list of product numbers does not work.
Select the product number as the field and IN as the comparison, and separate the numbers with commas.
Why do no stock levels arrive in WooCommerce?
Check whether inventory management is activated in WooCommerce and whether at least one warehouse is selected under Select Xentral warehouse in the Stock workflow. With several warehouses, Xentral reports the sum.
Why does Xentral not import an order?
Xentral only retrieves orders that have one of the statuses from Payment status, are at most 3 days old, and were created after you activated the order import. If you use custom statuses from a plugin, enter them there as well. Also check in the journal whether the import was aborted with an error.
What happens with an order that contains a product that is not created in Xentral?
Xentral does not import the order and displays an error in the journal. Create the product in Xentral and restart the order in the journal.
How do I import an order manually?
Open the journal via Automation > Journal, select the Orders tab, and import the order specifically via its order number with Import sales orders. You restart failed orders there via the icon for running again in the row or with Re-run filtered. In production operation, Xentral imports orders automatically; you only need the manual import after corrections or for testing.
How do I get notified when the order import fails?
On the System status page, set up a subscription under Manage alarms > Create alarm. You select the integration, the frequency, and whether you are notified about warnings, errors, or both.
How do I automatically change the shipping method depending on the delivery country?
Use shipping rules. A shipping rule filters orders, for example by shipping method, project, delivery country, and shop, and automatically changes the shipping method after the import, see the article Shipping rules.
Why does Xentral not set orders in WooCommerce to "Completed"?
Check whether the Order status & tracking feature is Active and the integration runs in the Production mode with Channel active turned on. Xentral reports the status as soon as the sales order or partial sales order is completed in Xentral. Also check in the sales order whether the Online shop field is filled. If it is empty, Xentral cannot assign the order to an integration; in this case, create the integration again.
Why do no tracking numbers arrive in WooCommerce?
Xentral only transfers tracking numbers with the Shipment Tracking plugin. Check whether the plugin is active, whether Reporting tracking information is activated in the Order status & tracking workflow, and whether your shipping service providers are assigned under Carrier assignment.
On English documents, for example, the designation of the postage or discount item is missing.
No translation is created for the product. Open the product, switch to Details > Texts and descriptions, and enter the designation in the Article (EN) field.
I activated the features, but no data is exchanged.
Going live runs in two stages: In addition to the Active switch per feature, the Production mode must also be selected in the general settings and Channel active must be turned on, see the article WooCommerce: Going live.
