As soon as you have carried out all settings, you test the integration with a few products and orders and then set it live. From then on, Xentral exchanges the data with WooCommerce automatically in the background. Going live deliberately runs in two stages so that no feature exchanges data by mistake before you have checked it: First, you activate the features you want and test them, then you set the mode to Production in the general settings and turn on Channel active.
-
You have set up the product assignment and the workflows, see the articles WooCommerce: Assigning products and WooCommerce: Setting up workflows.
-
All products that can be ordered in WooCommerce are created in Xentral. Otherwise, Xentral does not import orders with these products.
-
Navigate to Settings > Integrations.
-
Click on the gear icon for your WooCommerce integration and switch to the Workflows tab.
-
In each feature that you want to use, activate the Active switch.
-
Click on Save.
If required fields of a feature are empty, you receive an error message. Required fields are marked with *. Fill them in, save, and activate the switch again.
As long as Channel active is switched off, Xentral does not exchange any data automatically yet. You now test the active features specifically via the journal. Xentral does not transfer features that are not active, not even via the journal.
Test the integration before you set it live. In doing so, check whether Xentral transfers your test data correctly and as expected.
-
Limit the product assignment to one or a few test products.
-
Open the journal via the path Automation > Journal or via Smart Search.
-
Filter by your WooCommerce integration and select the entity that you want to test, for example products.
-
In the row of a test product, click on the icon for running again. Check the result in the journal and in WooCommerce, for example images, properties, and meta texts.
-
In WooCommerce, create a test order with a status that you selected for the order import. In the journal, select the Orders tab, click on Import sales orders, and import the order specifically via its order number.
-
Check the sales order in Xentral, for example customer, project, payment method, shipping method, taxes, shipping costs, and surcharges. Check in WooCommerce whether Xentral set the status of the order as configured. Ship the sales order and check whether completion and tracking number arrive in WooCommerce.
You restart all filtered entries in the Articles tab with Synchronize filtered and in the Orders tab with Re-run filtered.
You find all functions of the journal in the article Import/export journal.
-
In the Configuration tab of your WooCommerce integration, switch to the General settings sub-tab.
-
In the Identity section, select the value Production under Mode. In the Status section, activate the Channel active switch.
-
Click on Save.
Xentral now starts the processes for all active features and runs them automatically in the background. From this point on, Xentral retrieves orders; the integration does not import older orders automatically.
-
Check the journal regularly in the first few days. Filter by your WooCommerce integration and the status Error.
-
After a correction, for example a product created later, restart the failed order in the journal.
-
Have yourself notified by email about errors in the order import: On the System status page, set up a subscription for your integration under Manage alarms > Create alarm.
-
If you have activated the features but Xentral does not exchange any data, check in the general settings whether the mode is set to Production and Channel active is turned on. Only both stages together start the automatic exchange.
-
Only extend the product assignment to all products that you sell in WooCommerce after successful tests.
