Here you find answers to frequently asked questions that apply to all integrations. Questions about a specific integration are answered in the article “FAQs & best practices” of the respective integration.
Where do I find my integrations?
Under Settings > Integrations. The overview displays all integrations in one place. Click on the gear icon to open the configuration of an integration. Previously, the integrations were located under Settings > Sell > Shops/Marketplaces. See the article Integrations overview.
Where did the product assignment and general settings go?
You find both in the integration in the tab Configuration in the sub-tabs Article assignment and General settings. You find the settings per feature in the tab Workflows, as before.
Where is the journal of my integration?
The journals of the individual integrations no longer exist. You now see all transfers in the main menu under Automation > Journal. Use the channel filter to narrow down the display to one integration. See the article Import/export journal.
Is there an integration for my shop or marketplace?
You find all available integrations from Xentral and from partners in the catalog under Settings > Integrations > New integration. Use the category filter to narrow down the list, for example to marketplaces or shops.
Do I have to set up a process starter for the integrations?
No. The integrations run without a process starter.
Who may set up integrations?
Currently, only a user with administrator rights in Xentral can install, set up, and test an integration.
The features are active, but the integration does not transfer any data automatically. What is the reason?
Going live takes place in two stages. This way, you make sure that you have tested everything and nothing runs live by mistake:
-
In the tab Workflows, activate the option Active for every feature that you want to use, and save.
-
In the tab Configuration > General settings, in the section Identity, set the Mode to Production, and in the section Status, activate the switch Channel active.
Only when both are active does the integration exchange data automatically.
How do I test an integration before going live?
Initially leave the Mode set to Development and limit the product filter to one or a few test products. Then manually trigger the transfer of these products in the journal and import a test order in a targeted way via its order number. Check the results in Xentral and in the sales channel. See the article Import/export journal.
When creating the integration, I receive the error message “incorrect credentials”.
Check the credentials for typos and spaces. The required information and where you find it in the sales channel are in the article “Adding <integration>” of the respective integration. After creating the integration, you change the credentials in the tab Configuration > General settings in the section Credentials. If the channel logs in via the provider, for example Amazon, click on Renew authorization in the section Authorization there.
My changes in the configuration are not saved.
This is usually due to a local problem in the browser. Try the following:
-
Use a supported browser, for example Google Chrome.
-
Make sure that you are logged in to Xentral with administrator rights.
-
Reload the page and clear the browser cache.
-
Work in an incognito window.
-
Temporarily deactivate plug-ins or ad blockers.
What happens if I pause an integration?
As long as the integration is paused, Xentral does not transfer any changes. Xentral also does not store these changes to catch up on them later. If you reactivate the integration, Xentral transfers only changes from that point onward to the sales channel.
I removed a product from the filter, but it is still in the sales channel. Why?
The product filter only controls updates. A removed product remains in the sales channel and is not deactivated. It simply no longer receives current data from Xentral, and you can, for example, continue to maintain it manually in the shop. To take a product out of the offering, activate the option Product inactive in the product under Details > Online shop options while the product is still in the filter, and save. See the article Removing products from the shop/marketplace offering.
I created a new product, but it does not appear in the sales channel.
Xentral automatically adds new products to the filter overnight. If you do not want to wait, open the product and click on Synchronize products under Details > Online shop options.
My product is in the filter, but stock or price is not updated.
Xentral does not transfer a product until something changes on it in Xentral. If you want to synchronize immediately, manually trigger the transfer in the journal. See the article Product filter: rules for all integrations
I no longer want to offer a variant of a matrix product. How do I proceed?
For the variant in the product master, activate the option Lock active. Be sure to keep the assignment to the matrix product in the section Variants. If you remove it, the product structure changes, and inconsistent data can arise.
I want to store a list of product numbers as a filter.
In the product filter, select the field Article no. and the operator IN, and enter the product numbers separated by commas.
Does Xentral also retrieve older orders when going live?
No, Xentral does not retrieve historical data. The point in time of going live is decisive. If needed, you import orders from before that manually in the journal via their order number.
What happens to an order that contains a product that does not exist in Xentral?
Xentral does not import the order and displays an error message in the journal. Create the product in Xentral or store an external number, and then import the order in a targeted way via the journal. It is best to always create products that you offer in the sales channel in Xentral first.
How do I import an order manually?
Navigate to Automation > Journal, select the entity Orders, select the channel, and enter the order number. During live operation, Xentral imports orders automatically. You need the manual import only after corrections or during the test phase. See the article Import/export journal.
Can Xentral set the shipping method automatically based on the delivery country?
Yes, with shipping rules. For example, you define that orders with a specific delivery country automatically receive a different shipping method after the import. See the article Shipping rules.
Designations are missing on English-language documents, for example for postage or discount.
The translation is missing in the product. Open the product, for example the postage item, and enter a translation under Details > Texts and descriptions in the field Article (EN).
Can I be notified about errors in the order import?
Yes. On the System status page, set up a subscription under Manage alarms > Create alarm. You select your integrations, the frequency, and whether you receive an email for warnings and/or errors. See the article System Status.
When does Xentral Support help, when does the partner, and what belongs in the ticket?
For questions about standard integrations and the functional scope of Xentral, Xentral Support is your first point of contact. For partner integrations, the partner provides support. In that case, contact them directly. You find the contact details, for example, in the Marketplace.
So that we can help you quickly, your ticket should include:
-
your Xentral instance
-
what you wanted to achieve
-
what happened instead or what does not work
-
since when the error has occurred
Which data flows where?
Xentral transfers data as sparingly as possible and only for the features that you have activated. Data flows only between Xentral and the external services for which you have stored credentials. All other data remains in your Xentral instance.
The exchange runs via Xentral Connect, a separate service from Xentral that Xentral also hosts itself. This way, your data remains under the control of Xentral at all times.
Does the journal cost anything?
No, the import/export journal is free of charge for all customers.
Can I restart many failed records at once?
Yes. In the journal, filter by status, channel, and period, for example, and click on Synchronize filtered in the tab Products or on Re-run filtered in the tab Orders. Alternatively, select multiple entries and restart only those.
Do my integrations count toward my quota of flows or API calls?
In usage-based billing (Usage Based Pricing), standard integrations from Xentral count neither as flows nor as API calls and do not use up your included volume. Customizations and custom flows count as flows, but the API calls within them do not. See the article Costs, plans and limits
Are there technical limits?
Yes. Rate limits apply to Xentral Flows, for example for the number of flows and the number of components per flow. See the article Costs, plans and limits
How do I transfer the products from my shop to Xentral?
With the CSV import under Automation > CSV import. Export your products from the shop as a CSV file and import them into Xentral. See the article Importing data via CSV import
The standard does not cover my process. What can I do?
You have two options: Submit your request as feedback for the further development of the standard, or have the integration extended with a customization. See the article Customizing with Xentral Flows
