In the Workflows tab, you specify for each feature how Xentral exchanges data with eBay: which warehouses the stock comes from, how eBay orders arrive in Xentral, and when Xentral reports shipping to eBay. You activate each feature individually. This way, you can, for example, test the order import first and add the stock synchronization later.
-
The eBay integration is created and the features are selected. See the article Adding eBay
-
Postage items, discount items, payment methods, and shipping methods are created in Xentral. See the article Preparing Xentral for the integration.
-
Navigate to Settings > Integrations and click on the gear icon for your eBay integration.
-
Switch to the Workflows tab and select the sub-tab of the feature, e.g., Orders.
-
Carry out the settings and click on Save.
The Active switch at the top of each feature controls whether the workflow runs. Activate it as soon as you have carried out the settings of the feature. You can only test active features via the journal. The workflow runs automatically only after you set the integration live. See the article eBay: Going live.

Select Xentral warehouse |
Select one or more warehouses from which Xentral reports the stock to eBay. If you select multiple warehouses, Xentral transfers the sum. If a newly created warehouse is missing from the selection, reload the options. |
With these switches, you adjust the quantity that Xentral reports to eBay. This way, you sell on eBay only what you can actually deliver.

|
Consider reservations |
Xentral deducts reserved quantities from the stock. Depending on the project setting, open orders automatically lead to reservations. |
|
Consider open orders |
Xentral deducts the quantities of open orders from the stock. Activate only one of the two switches Consider reservations and Consider open orders. |
|
Consider stock correction value |
Xentral changes the stock by the stock correction value from the product. You can find the field in the product under Details > Online shop options, Stock area. |
|
Use pseudo stock number instead of real stock numbers |
Instead of the calculated stock, Xentral reports the pseudo stock number from the product. You can also find the field under Details > Online shop options, Stock area. |
Xentral imports eBay orders and creates them as sales orders in Xentral. In this feature, you specify how Xentral determines the project, the payment and shipping method, customers, and items.
Field name |
Description |
|---|---|
|
Editor |
Optional. Enter a name that appears as the editor in imported orders, e.g., "eBay". |
|
For which marketplaces should orders be imported? |
Required field. Select all eBay marketplaces from which Xentral should import orders, e.g., Germany (ebay.de), Austria (ebay.at), or UK (ebay.co.uk). Xentral does not import orders from other marketplaces. |
Field name |
Description |
|---|---|
|
Default project |
Project that Xentral assigns to imported orders if no other assignment applies. |
|
Sales channel <> Project assignment |
Required field. Assign a Xentral project to each eBay marketplace, e.g., ebay.de to the project "eBay DE" and ebay.at to the project "eBay AT". You add further rows with + Add group. This way, you evaluate sales per marketplace separately and control project-dependent settings. |
Field name |
Description |
|---|---|
|
Default payment method |
Payment method that Xentral enters if eBay does not provide a payment method. |
|
Use default payment method even if no assignment is available? |
Switch. If it is active, Xentral uses the default payment method even if eBay provides a payment method for which you have not created an assignment. |
|
Payment method assignment |
Required field. Assign your Xentral payment methods to the eBay payment methods. The eBay values are available for selection, e.g., PAYPAL, CREDIT_CARD, or EBAY. You add further rows with + Add group. |
|
Payment methods without auto-shipment |
Select payment methods for which Xentral deactivates auto-shipment, e.g., if you check the incoming payment before shipping. Xentral imports these orders, and you release them manually for shipping. |
Field name |
Description |

|
Which delivery terms should apply to the order import for this sales channel? |
Optional. Select a delivery condition that Xentral enters in all imported eBay orders. The delivery condition must be created in Xentral. Leave the field empty if you do not use delivery conditions. |
|
Default shipping method |
Shipping method that Xentral enters if eBay does not provide a shipping method. |

|
Fast lane shipping methods |
Select shipping methods for which Xentral activates the fast lane, e.g., express shipping. |
|
Create receipts in auto dispatch |
Specify which receipts Xentral creates during auto-shipment. The available options are: Create invoice only, Create delivery note only, and Create invoice and delivery note. Create invoice only is suitable, for example, for pickup. |
|
Shipping methods without auto-shipment |
Select shipping methods for which Xentral deactivates auto-shipment. |
Field name |
Description |
|---|---|
|
Item number for shipping costs |
Required field. Select the postage item to which Xentral posts the shipping costs from eBay. Products with the Item is postage option are available for selection. |
Note
For Xentral to always take over the shipping costs from eBay, the postage item must not have a sales price. If the Calculate postage option is active in the project, Xentral otherwise uses the sales price of the postage item. If you sell products with a reduced tax rate, also activate the Split shipping module so that Xentral calculates the correct tax rate for the shipping costs.
Field name |
Description |
|---|---|
|
Country of the Xentral warehouse |
Country from which you ship. The default is Germany. Xentral needs this information to calculate tax correctly. |
|
Automatically mark VAT ID no. as checked |
Switch. If it is active, Xentral marks the VAT ID number as checked in all imported orders. Use it only if you ensure that only orders with a valid VAT ID number arrive, because Xentral then no longer checks it itself. |
|
Make taxation dependent on storage location |
A switch that controls whether Xentral calculates the value-added tax according to the country of your warehouse location. In general, value-added tax is due in the buyer’s country (Section 3c of the German VAT Act). If your annual EU-wide revenue from distance sales is below EUR 10,000, you may apply the tax rate of your warehouse location’s country instead. Activate the switch only in this case. |
|
Set total amount |
Switch. If it is active, Xentral takes over the total amount from eBay instead of calculating it from the items. This way, you avoid rounding differences. |
|
Maximum difference to the calculated total amount |
Appears if Set total amount is active. The default is 0.05. If the amount calculated by Xentral deviates by more than that, Xentral does not take over the eBay amount, writes the entry "Online-Shop Differenz erkannt" to the sales order log, and stops auto-shipment. |
Field name |
Description |
|---|---|
|
Item number for discount |
Required field. Select the discount item to which Xentral posts coupons and discounts on the entire shopping cart. Xentral saves discounts on individual products at the respective position. Products with the Item is discount option are available for selection. |
Field name |

Process comment from order? |
Specify what happens to a buyer comment from eBay. The available options are: do not observe, write in free text, and write in internal description. If the field remains empty, Xentral ignores the comment. |
|
Stop auto-shipping with comment? |
Switch. If it is active, Xentral does not automatically release orders with a comment for shipping. This way, you read buyer requests before the goods leave the warehouse. |
Here you specify how Xentral assigns the buyer of an eBay order to a customer in Xentral.
Field name |
Description |

|
Customer creation |
Applies to buyers with a customer account. The available options are: assign customer from order to existing customer (default), Write each customer to default customer, and create each new customer. |

The available options are: Do not import order, Create new customer (default), and Write each customer to default customer. |
|
Assign existing customers only within the project? |
Switch. If it is active, Xentral searches only for customers in the order’s project. If Xentral does not find one there, the If no customer is found, then setting applies. As a rule, the switch stays off. |
|
Select default customer |
Appears if you selected the option with default customers in one of the fields above. Select the customer to whom Xentral writes these orders. |
Field name |
Description |
|---|---|
|
Adopt article description from Xentral |
Switch. By default, the sales order position contains the name from eBay. If the switch is active, Xentral uses the name from the product master data. This is worthwhile if your eBay titles are optimized for search and would be too long on the delivery note and invoice. |
|
Adopt article description |
The available options are: No article description (default) and Article description from Xentral. |
