In the workflows, you define per feature which data Xentral exchanges with Shopify and how. Here you decide, for example, which product data Xentral transfers, which warehouses the stock levels come from, from which payment status orders are imported, and how Xentral assigns customers. There is a separate tab for each feature that you selected when creating the integration.
-
You have created the Shopify integration and selected the features, see the article Adding Shopify.
-
You have limited the product assignment for your tests, see the article Shopify: Assigning products.
-
For the order import, a postage item and a discount item are created in Xentral. You create them by activating the option Item is postage or Item is discount when creating the product.
-
Navigate to Settings > Integrations.
-
Click on the gear icon for your Shopify integration and switch to the tab Workflows.
-
Select the feature, for example Articles, and carry out the settings in the areas.
-
Click on Save.
Every feature has the switch Active. It applies only to the feature you are currently in. Activate the switch as soon as you have carried out the settings of the feature. You can only test active features via the journal. Only when the feature is active and the integration runs in the mode Production with Channel active switched on does Xentral exchange the data automatically, see the article Shopify: Going live.
In the Products feature, you define which product data Xentral transfers to Shopify. You set prices and stock levels in separate features.
Data types area
Field name |
Description |
|---|---|
|
Master data (excl. prices and stocks) |
Transfers the master data, for example designation, description, and weight. If Xentral should create new products in Shopify, this data type must be active. |
|
Variants (excl. prices and stocks) |
Transfers the variants of matrix products. |
|
Custom fields |
Transfers custom fields or properties to Shopify metafields. You define how in the area Free field assignment. |
|
Images |
Transfers the product images. |
|
Tags |
Transfers the product tags as product tags. Based on these tags, you create automated collections in Shopify. |
|
Translations |
Transfers product texts in additional languages. For this, you need the app Translate & Adapt in Shopify. |
For translations, Xentral transfers product name, product description, meta title, meta description, and meta keywords. Xentral selects the texts in this order:
-
Online shop texts in the product under Texts that are created for this shop.
-
Online shop texts in the product under Texts without a shop selection.
-
Texts in the product under Details > Texts and descriptions. In this case, the field Product description in the area Online shop texts takes precedence; only if it is empty does Xentral use the field of the same name in the area Description.
Meta texts, Master data, and Update strategy areas

To create products, at least the master data must be transferred. |
|
Automatically delete products in the shop? |
Activate the switch if products that you delete in Xentral should also be deleted in Shopify. If you delete a matrix product, Xentral also deletes all associated variants in Shopify. |

|
How should the free fields from Xentral be transferred to the online store? |
You can choose from: Transfer free fields from Xentral (default; automatically writes custom fields to metafields of the same name); Manual assignment table (you assign custom fields to individual metafields); Automatically write properties from Xentral to available custom fields; Manually assign properties from Xentral to the custom fields available in the shop. |
|
Free field assignment |
Appears for a manual assignment. Click on + Add group and assign a custom field or property from Xentral to a metafield in Shopify in each row. |
Important
Shopify rules for metafields
-
The custom field type in Xentral must exactly match the metafield type in Shopify, for example single-line text to Single Line Text.
-
Xentral sends date fields in the format DD.MM.YYYY, while Shopify expects YYYY-MM-DD. For date metafields, use a text custom field and maintain it in the format YYYY-MM-DD.
-
Shopify distinguishes between metafields for product and variant. A custom field cannot be assigned to both levels at the same time. For variant products, the transfer always runs via the matrix product.
-
If a single metafield fails, Shopify discards the transfer for the entire product. In that case, all other metafields are not updated either.

Field name |

Consider stock correction value |
Activate the switch to change the stock by the stock correction value from the online shop options of the product. |
|
Use pseudo stock number instead of real stock numbers |

Activate the switch to transfer all sales prices of the selected customer groups, including tiered prices, to Shopify B2B catalogs. |

Select the discount item to which Xentral books vouchers and discounts on the entire shopping cart. Xentral saves discounts on individual products at the respective line item. |

Activate the switch so that Xentral adopts the total amount from Shopify instead of calculating it from the line items. This way, you avoid rounding differences. |
|
Maximum difference to the calculated total amount |
Define how far the calculated total amount may deviate (default: 0.05). If the difference is greater, Xentral does not adopt the amount, writes the log entry "Online shop difference detected" to the sales order, and stops auto-shipment. |

Continue the sales order as a return.
-
Continue the return as a credit note or cancellation invoice.
-
Approve the credit note. It then appears in the payment transactions.
-
Open Payment transactions via Smart Search.
-
In the tab Open, select the entry, select Shopify Pay as the account, and click on Assign and approve payment.
