Xentral offers various export options for the export of your contact master data:
Selective export of contact information
Full export of the contact master data using the import/export function
You use a selective export when you only want to export specific data and not the data set as a whole, e.g. email addresses for creating newsletters or certain address data for marketing letters.
A full export is required when you need all your existing contact master data, e.g. for the setup of a new system or module.

Within the Master data module there are two different options to export your contact master data:
using the export buttons
using the Action menu
Below we describe these two options as well as advantages, disadvantages and, if applicable, limitations of each option.
In each of the 3 tabs Overview, Adressenfilter (address filter) and Advanced address search you will find the following 5 buttons below the contact master data table:
If you plan to print your contact master data, make sure that you have a printer set up in your system.
To export specific data from the Overview, Adressenfilter and Advanced address search:
Filter your data so that only the information you want to export is displayed.
Make sure that all the required data is shown on one page. Use the Entries per page option for this purpose. Only data displayed on the screen will be exported when you click the export buttons.
Click Clipboard, CSV, Excel, PDF or Print.
If you want to export large quantities of data, the export buttons are not the best option for you. Only the displayed data is exported and the display is limited to 1000 records. For this reason we recommend using the import/export function for the export of more than 1000 records.
Exporting your data using the Clipboard button can lead to irregular formations when copying the data into a document. We recommend an export using CSV, Excel or PDF.
These export buttons are also available in many other tabs in the contact master data module.
Master data > Contacts > Adressenfilter tab
In the address filter you can filter you contact master data based on various filter criteria and save the selected filter criteria as template. Using the template you can then export your data.
