With the States module, you can create states for various countries. These states are then selectable in the customer address later.
States in Xentral are relevant for you if you ship goods to the USA or Canada, as they are required for creating shipping labels and clean addressing in this case. Specifying the state can also be relevant for shipments to Austria or within Germany, as it is necessary for the correct addressing of shipments in many cases.
By default, the federal states and states of Germany, Austria, Switzerland, Canada, and the USA are present in Xentral. You can view an overview of the existing states by searching for and opening the States module via Smart Search.
Important
The module is being deactivated in a future version. No new states can be added anymore. Internally, we are already using other tables. If you need to add another state, contact our support team by email at support@xentral.com.
You select the corresponding state in the customer address. Proceed as follows to do so.

Open the Sell > Contacts menu.

Open the desired address by clicking on the pencil icon.

Scroll down in the Address data sub-tab of the address until you reach the Master data section.

Select the desired state in the State field.

Click on Save.
The state is automatically displayed on receipts such as the sales order confirmation, invoice, delivery note, etc., if it is stored in the customer address. The state is usually displayed after the city and before the ZIP code. If necessary, the state can be manually entered or changed later by opening the respective receipt and adding or changing the state in the address.
Just like on receipts, the state is also automatically displayed on shipping labels if it is stored in the customer address. Here too, you can manually enter or change the state if necessary by opening the shipping label and adding or changing the state in the Region field.
Important
If the state is not correctly specified for shipments to Canada and the USA, this can lead to error messages during shipment registration. Therefore, always check whether the state is correctly stored in the Region field before you create the shipping label and have the shipment collected by the shipping service provider.
