Every address can belong to a customer, supplier, partner, or internal organization. To allow you not only to store these addresses but also to structure them meaningfully, Xentral provides the option to use address types.
Address types help you organize your address data according to specific criteria — such as salutation, company form, or purpose. This ensures that communication with customers and partners remains consistent and that your internal processes are clearly separated from one another.
By default, the types Company, Ms., Mr., and Other are available. In addition, you can define custom address types and link them to project-specific settings.
Note
Principles of address types:
-
Each address type should exist only once per project with a unique label.
-
If multiple labels are created for the same type, the system automatically uses the one created first.
-
Displaying multiple labels for the same type simultaneously is not possible.
Practical benefits:
-
Consistent salutation and communication with business customers.
-
Automatic display of the correct pricing logic (net instead of gross).
-
Clear separation within projects.
To set up a new address type, open the Address Type menu item either via Smart Search using the term Address Type, or via Settings > Master data > Address > Address Type.
Steps:
-
Click on Add type.
-
Enter the name of the type in the Label field — e.g. Company, Mr., Ms., Commercial, Private. This label is used, among other things, as the salutation in mail merges or documents.
-
Select the appropriate address type in the Type field: Company, Mr., Ms., Other.
-
Optional: Assign a project in the Project field to restrict this type to a specific project.
-
Optional: Enable Display documents in net if net amounts (e.g. for B2B) should be displayed on documents for this address type: Net amounts plus tax.
-
Set the address type to Active to enable the new address type. Address types that are no longer used can be deactivated.
-
Click on Save. The new address type then appears in the overview and can be selected for an address.
You can modify existing types at any time:
Steps:
-
Click on the pencil icon of the desired type in the overview.
-
Adjust the fields as needed, e.g. the label.
-
Click on Save. The updated address type then appears in the overview and can be selected for an address.
Caution
Always make sure you have selected the correct address type.
Address types that are no longer needed can either be deactivated or permanently deleted.
Steps to deactivate:
-
Open the address type via the pencil icon.
-
Remove the Active checkbox and save.
Note
The type now appears crossed out in the overview.
Steps to delete:
-
Click on the x icon next to the address type.
-
Confirm the prompt with OK.
Caution
The address type is permanently removed and will no longer be displayed.
In many companies, it makes sense to create separate address types for business customers (B2B). This allows specific settings and requirements to be controlled directly.
A typical scenario:
-
Business customers usually require net prices on quotes and invoices, while private customers (B2C) should see gross prices.
-
To achieve this, you can create a custom address type B2B customer and enable the Display documents in net field.
-
As soon as this address type is assigned to a customer, all documents automatically display net amounts.
In addition, you can assign the "B2B customer" address type to a specific project — for example if you manage your business customers in a dedicated sales project. This makes evaluations and assignments easier and more clearly separated.
I would like the address type (e.g. "Mr.", "Ms.", "Company") to also appear on my documents such as quotes, orders, or invoices. How can I configure this?
Answer:
The "Type" field is stored in the address (by default as lowercase values: ms, mr, company). To make it visible on documents such as quotes, orders, or invoices, you can insert the placeholder {ADRESSE_TYP} into your document layout.
How to do it:
-
Open the desired template for quotes, orders, or invoices (module: Document text templates).
-
Add the placeholder {ADRESSE_TYP} at the position where the address type should appear.
-
Save the template. The type will then be displayed automatically the next time the document is printed.
If you rename existing types, all affected addresses must be reassigned for the change to take effect in documents.
