The Payroll module lets you view the booked working hours of your employees. You can use this overview as an aid to create, output, and print the payroll of your employees, especially for employees who are paid variable salaries (e.g. hourly wage workers, part-time employees, freelancers paid by the hour). This is based on the time tracking in the Team > Time Tracking menu, where the users of your Xentral instance book their own working hours, and administrators can also book times for other employees. A prerequisite for the correct use and functioning of the Payroll module is that all employees for whom you want to use time tracking and payroll in Xentral are created as addresses in Xentral and have been assigned the Employee role.
Important
The Payroll module is only available if you use Xentral in the Business plan or Pro plan.
You can find more information about the Xentral plans on our website.
You can find the payroll overview by using Smart Search to open the Payroll module. The overview displays a list of all employees for whom times have been booked in time tracking. In addition, it displays the total number of hours your employees have worked in the billing period.
Using the filter above the overview, you can narrow down the period for which the booked working hours are displayed. By default, the filter is set to a period from the first day of the current month to the current day.
In addition to the general overview, there is also a monthly overview. It displays the total working hours of each employee in every month of a given year. Below the table, you can select views for previous years.
You can open the mini-detail view by clicking on the arrow on the left side of each entry in the overview of the Payroll module. There, you can view the entered working hours of the employee. In addition, the mini-detail view offers you the following actions:
-
Cancel: Click on Cancel to cancel the employee’s booked working time. It is thus deleted from the system and is no longer credited to the target working hours.
-
Edit: Switch to time tracking to change an entry.
In the Payroll module, you can export and print the data for payroll as a CSV, Excel, or PDF file. However, note that this is not a complete or legally compliant payroll statement, but only contains the data available in Xentral at the time of the download.
You can use the export and print functions for the payroll data as follows.
-
Use Smart Search to open the Payroll module.
-
Click on Tools above the overview.
-
Select one of the CSV, Excel, or PDF options to export the data in the corresponding format.
Alternatively: Select one of the Clipboard or Print options to either export the data to the clipboard or print it out directly.
