Custom fields in address master data are primarily used as information fields and cannot be used directly for sorting or filtering in other modules (e.g. orders) in the standard version. To extend this functionality, submit a feature request on the Xentral Roadmap so that other users can vote for it.
VAT verification depends on where the tax logic is applied — i.e. whether it is handled in the shop system or in the ERP Xentral.
-
In the shop (e.g. for e-commerce customers): Many shop systems already handle the correct tax treatment, for example based on the delivery address or a provided VAT ID. In this case, orders are already transferred to Xentral with the appropriate tax logic applied. → The VAT ID is therefore already verified or processed in the shop.
-
In Xentral: If the shop does not perform automatic VAT ID verification, this can be done directly in Xentral. In the customer address, an online VAT ID check can be initiated via the German Federal Central Tax Office. The result is recorded in the system and can be confirmed in writing if required.
In orders: Imported orders with a VAT ID are color-coded in Xentral (traffic light system). Red indicates that a manual check or confirmation is required. Once the order has been opened and reviewed, it can be confirmed manually.
"VAT ID verified" can be set automatically by the channel (see shop) or manually in the order. (The VAT traffic light also turns green automatically when the taxation is set to "Domestic".)
Caution
Check the legal requirements for VAT ID validation and VAT treatment — if necessary in consultation with your tax office or tax advisor. Make sure that all VAT ID checks are carried out and documented in accordance with legal requirements.
