The system ID is the internal, unique identifier of a record in Xentral. It remains stable and ensures that entries are uniquely identified – regardless of names, item numbers, or project codes. Do not confuse it with business identifiers such as SKU or project code: the system ID is purely internal, but central to many processes.
For data imports (e.g., CSV/Excel), the system ID helps apply updates and assignments to exactly the right record – for example, assigning prices to a specific item, entries to a category, or time entries to a project. In API & integrations, it serves as a reliable anchor: external systems can use it to find, read, and update records securely, and to establish relationships between them.
What & what for?
The system ID is an internal, unique number per record (e.g., items, projects, categories). You need it for reliable data imports, API/integrations, links within Xentral, and for support/troubleshooting.
How to find it quickly:
-
How do I find the ID for an open record? Look at the browser address bar (URL) – the number at the end is the ID. E.g., an item record, an address record.
-
How do I find the ID in a list without opening anything? Hover over the pencil/edit icon; the target URL is displayed at the bottom of your browser. Or right-click → "Copy link address" and read the number at the end. (I don’t see a URL at the bottom. What should I do? If the status bar is hidden, simply use right-click → "Copy link address" and extract the number from there.) E.g., item category, project ID.
Important to know:
-
Is the system ID the same as the item number/SKU/project code? No. The system ID is an internal identifier, independent of business numbers.
-
Can I change the ID? No, it is permanently assigned.
