With the help of the Groups module, you can sort different customers and their addresses into groups in Xentral, for example if you want to assign group-specific prices or payment conditions. There are two different types of groups that are distinguished according to their use cases and that are described in this article.
You can use groups for the following use cases:

Creating price groups to grant discounts for items automatically for specific customers

In combination with online shops, price groups are used to control the prices to be transferred

Creating groups of persons to consolidate different addresses

Maintaining different sales prices per group
Regular groups are mostly a filter for group-specific prices. Below, you can find a list of the most important modules in Xentral that allow you to filter for groups.

Proceed as described below to create a new group.

Use the Smart Search to open the Groups module.

Click on + NEW in the upper right corner.

Carry out the settings for the group. The following table contains more detailed information on the available options.
Setting
Explanation
Active
Activate this option after you have carried all the necessary settings for the group. Afterwards, the group will be ready to use in other areas of Xentral.
Designation
Enter a name for the group. This name is not visible to your customers, but only to you and your employees in Xentral.
Code number
If needed, enter an additional designation for the group. You can enter numbers and letters. This code is not visible to your customers, but only to you and your employees in Xentral.
Important
Special characters and spaces are not allowed.
Internal comment
If needed, enter an internal comment to record additional information on the group for you and your employees in Xentral.
Type
Select the option Group to be able to use the group as a filter in the address overview or to create group-specific prices. Select the option Price group to use a price group to assign general percentage discounts or to determine specific payment conditions.

Project
Optionally, select a project that this group should be limited to.
Category
Optionally enter a category that can later serve as an additional distinguishing feature in Xentral when adding members to the group.

Click on Save.
If you select the type Price groups during the creation of a group, a few additional settings are available. Below, you can find more detailed information on these options.

Basic discount |
Enter the basic discount in %. This basic discount will be displayed in the Discount column of the customer receipt. This discount is also applied if you have already determined customer-specific prices using a regular group (selection of the type Groups during creation of the group). |
Payment target days |
Enter the payment target that should apply for this price group in days. This information will be displayed accordingly in the customer receipt. |
Discount |
Enter the early discount that should apply for this group in %. This information will be displayed accordingly in the customer receipt. |
Discount days |
Enter the allowed days for the early payment discount that should apply for this price group. This information will be displayed accordingly in the customer receipt. |
Postage free active |
Activate this option to not charge any shipping costs after a certain sales order value has been reached. |
After you have created the groups described above, you proceed by adding the desired addresses to this group. Depending on your use case, these can be addresses of your customers, but also of suppliers or employees.
Proceed as described below to manually add addresses to groups.

Go to Sell > Contacts.

Open the desired address.

Open the Groups tab.
An overview of all groups that have been created in Xentral is displayed.

Activate the checkbox on the left of the desired group to add the address to this group.
Tip
In the Roles tab of the address, you can see all groups that this address has been assigned to and from which date it was or is part of a group. This is also where you delete addresses from a group, if required.
If you want to assign a bigger number of addresses that you wish to assign to specific groups, you can use a CSV import to do so. More information on this is available in this article.
In the following, we will be using a practical example to demonstrate how to use a group of the type Price group to allow for free shipping for sales order with a value exceeding €50.00.

Open the Settings > Administration > System settings menu.

In the Receipts section, activate the option Calculate postage.

Click on Save.

Use the Smart Search to open the Groups module.

Create a new group of the type Price group. Enter a clear designation for the price group, e.g. “No shipping costs from €50”. Then, add the desired customer addresses to this price group.
Tip
Refer to the previous chapters of this article to access additional information on how to set up a price group.

If not already done: Create a so-called postage item. You must activate the option Item is postage in the item master data of this item.

Check the settings of the addresses that you have added to the price group: The option Establish terms of payment in the Terms of payment/taxation tab must not be activated because otherwise, the settings of the price group will be ignored.
If you now create a sales order that contains a postage item, the shipping costs are automatically set to 0 for sales orders starting with a net item value of €50.00.
