Welcome to our Mobile Inventory App FAQ page! Here you will find answers to the most frequently asked questions about the app. This article will provide you with quick and helpful information at a glance to help you use the Mobile Inventory App. Whether you need to set up, troubleshoot, or find tips on how to get the most out of it, our FAQ will help.
Depending on which operating system your device is using, the Mobile Inventory App is available for free download from the Google Play Store (Android) and the App Store (iOS).To install, open the respective store on your smartphone or MDE device and install the app just as you install any other app.
Tip
You can find detailed installation instructions in the article Mobile Inventory App: Requirements and installation.
For a very first test, you can install the Mobile Inventory App on any smartphone with Android or iOS operating system.
For regular use in your warehouse, we recommend purchasing professional MDE (Mobile Data Acquisition) devices, which have a screen similar to a smartphone, but are additionally equipped with special barcode scanners.
We recommend the following manufacturers and models for using the Mobile Inventory App:
-
Zebra TC26
-
Zebra MC 3300
-
Honeywell
-
Sunmi
For general inventory preparation, you should check out our Checklist for inventory preparation we have created on this topic.
You can prepare the inventory runs in the Mobile Inventory App and assign them to the warehouse staff. This works as follows:
-
Log into the Mobile Inventory App.
-
In the Start new run tab, you can create as many inventory runs as you like. You select one person per run as counter and controller each. You also define which storage locations should be counted in this run.
-
Finally, tap on OK.
Now, when your employees log into the app, they see the prepared runs in the My runs tab and can start taking inventory right away.
The target stocks of your storage locations are intentionally not displayed in the Mobile Inventory App, as the app is used to perform a so-called "blind inventory". This means that no one, including the inventory manager, can see the target stocks directly in the app, so you intentionally avoid false counts and attempts at manipulation.
The display of target stocks therefore expressly cannot be activated and such a functionality is not planned.
The deletion of an inventory run is not possible on purpose - neither in the app nor in Xentral - as this contradicts the principle of completeness of the inventory data.
To clear the list of active inventory runs, admins can use the Complete & sign function. To ensure the process is treated as a "dry run" and no inventory levels are changed in the system, the following conditions must be met:
-
Status of all shelves: Every single shelf within the inventory run must be set to "open". In this state, no quantities will be booked during the final signing process.
-
Risk with "completed" status: As soon as a shelf is marked as "completed", Xentral treats this as a valid count result. If you finalize the inventory run in this state, stock levels will be updated based on that count (even if it is empty).
Note
As an admin, you can finalize any inventory run in the app, even if it was originally assigned to a different user. Please note, however, that you cannot make any further corrections to shelves or counted quantities during the finalization process. Therefore, always carefully check the status of the shelves beforehand.
Inventories (meaning: inventory runs) cannot be undone after the inventory run has been completed in the app.
However, if you notice that you have entered incorrect counting results in the app, follow these steps:
-
First, open the Stock > Mobile Inventory Reports menu.
-
Check the count results and inventory runs in the list to find the storage locations whose results are incorrectly recorded.
-
The Delta Report can also give you information about deviations.
-
Start a new inventory run in the Mobile Inventory App, where you recount the affected storage locations.
-
After the completion (= signature of counter and controller) of the new inventory runs via the app, the stocks in Xentral are adjusted.
Yes, this is possible - but only as long as the corresponding storage location has not yet been confirmed in the app.
When you’re in the storage location overview in the app, you can tap on the three dots in the top right corner, then tap on Mark storage location as open, which will reset the inventory you’ve recorded for that storage location and let you start counting from scratch.
If you have created an incorrect inventory run - for example, one that does not include all the desired storage locations - you cannot delete or directly correct it.
Instead, you can end the run by opening the All runs tab in the app as an admin. Select the desired run and tap on Complete & sign in the three-dot menu. This will terminate the run without making any stock changes in Xentral. You can then create a new run.
Yes, you can end inventory runs early at any time, in which case the count is considered incomplete and the stocks of uncounted storage locations remain unchanged in Xentral.
See chapter Step 4: Completing the inventory run for more details on how to stop inventory runs in the Mobile Inventory App.
If you need to pause the inventory process, for example because you need to perform other urgent tasks in Xentral or quickly ship a sales order, you should do the following:
-
First, complete all inventory runs that are marked as started in the Mobile Inventory App.
-
You simply leave all remaining runs that appear as open in the app as open, and continue with these runs as soon as inventory resumes.
-
In the Stock > Mobile Inventory Reports menu in Xentral, make sure that the previously started storage locations are displayed as completed.
-
Now you can do the necessary work in Xentral, activate the process starters globally if necessary and process sales orders in the dispatch center.
-
When you’re done with your tasks, make sure the dispatch center is empty and the process starters are globally disabled.
-
Then open the Mobile Inventory App again and continue counting inventory runs that are marked as open.
If the stock numbers in your counting list are unusually high, please check your filter settings under Stock > Mobile Inventory Reports. The key date you specify here before creating the list must not fall within a period during which stocktaking took place. Adjust the selected date and generate a new counting list to obtain correct stock numbers.
In the Stock > Mobile Inventory Reports menu, the following error may occur when you try to download a counting list as a PDF or CSV file:
Diese Seite funktioniert nicht.

HTTP ERROR 401
The following steps usually resolve the error:
-
Use a different browser
-
Activate incognito/private mode
-
Check your firewall settings
-
Disable your ad blocker or other browser addons
-
Log out of Xentral and then log back in
The stock deviations recorded during your latest inventory are not immediately available in the Delta report, as the report module only synchronizes the data once overnight (between 10pm and 4am) and inserts it into the report.
Thus, wait until the following day to create the Delta Report.
