-
Item and Product Settings - Settings for the central product search, units and weight settings
-
Comprehensive document settings - e.g. release of documents with interim queries, information density and displays in position tables in the document, individual additional displays e.g. product images, continuation of documents and workflow settings
-
Settings of the Xentral table views - Product and document tables e.g. sales order, invoice
-
Order status indicator - individualization and display of the order status indicators for control
-
Printer - Default printer as a default setting for work steps for your team
-
Other - special module settings, system-wide preferred language
-
Further module settings - e.g. goods receipt, production, time recording, email - special system-wide module settings
-

You can change and save the settings under Administration > Settings > System > Basic Settings > System.

Warehouse |
Display which products are in stock and available for shipment. |
Postage |
Display whether the sales order includes a shipping product. The absence of the shipping product (i.e., missing shipping cost calculation) results in an orange indicator. Shipping costs can also be entered as zero euros. |
VAT |
Intra-Community Acquisition. The VAT ID (Value Added Tax Identification Number) of the other business is verified. Otherwise, the tax liability rests with you. |
Payment |
Has the payment been received or has the sales order been marked as paid (this can also be an automatic marking in the payment method during order import from a shop)? |
Cash on delivery |
Verification of cash-on-delivery products plus shipping cost products. |
Auto-shipping |
Approval for an automatic batch logistics process (e.g., shipping process) such as auto-shipping. Depending on the settings, sales orders are transferred hourly or, for example, at 8:00 a.m. If you want to block a completely green sales order, you can control this via the auto-shipping approval. |
Customer check |
If you want to set up a customer check per sales order, you can control this via this indicator. For example, for high monetary amounts on your B2B project. |
Date of delivery |
Delivery date has been reached or the delivery date for dispatch from warehouse. If the indicator is green, the sales order can be shipped today. |
Credit limit |
Setting the credit limit in the customer master data. The credit limit applies when the total of currently outstanding invoices exceeds the entered limit. |
Delivery block |
Setting a delivery block in the customer master data. The delivery block can be activated. Once a new sales order is entered for this customer number, the status indicator turns orange and blocks the transfer to logistics. Alternatively, you could also set the payment method to advance payment. If the sales order comes from a shop, you may not be able to influence which payment method was chosen. |
Production |
For this sales order, there is a completed production. The goods have been fully assembled/manufactured and stored. |

Sequence buffer |
Specifies the order and data that you can directly place in the contacts clipboard using the 'Contacts to Clipboard' button. You can then output the content again using Ctrl/CMD + V. |
Address template |
Here you can specify an address to serve as a template for newly created addresses (not via the import center). When creating a new address, most fields of the sample address under Contact > Details are adopted. |

Limit document tables |
Activates automatically when there are more than 5000 documents + 1 second query duration OR more than 10000 documents in a document overview. Limited to double the number of displayed items (page 10) - this is only important for the number of found data as well as the number of pages below the live table. Activating this option is beneficial for performance with large amounts of data. All documents are still considered in the search; however, the search process is staggered. |
Limit product table |
It automatically activates when there are more than 5000 products or when the query duration exceeds 1 second, OR when there are more than 10000 items. If the option is removed once, it will not be automatically set again. |
Limit address table |
It automatically activates when there are more than 100 open sales orders that need to be checked for automatic shipment. It takes the oldest sales orders and checks the first oldest 100 sales orders (for Auto-shipping Plus). If there are significantly more, the cron job (auto-shipping_plus) should run more frequently. The standard setting should be 100 - 0 means no limit. |
Limit auto-shipping: |
Limit automatic shipping to X records. This is the maximum number of sales orders to be checked during automatic shipping (0 means no limit).
|
Dispatch emails and feedback to the shop via process starter. |
Number X per run. Emails (0 means no limit).
|
Activate quick search |
Automatically activates when there are more than 5000 products + 1 second query duration OR more than 10000 products. Adds a new search field to the product. In this search field, pressing Enter must confirm a search term, preventing unnecessary search requests to the database and avoiding a buildup of search requests that could slow down the search. |
Include orders blocked for auto shipping |
Calculates the sales order status indicators for blocked orders. Note: a large quantity of non-canceled but blocked orders can significantly slow down the calculation. If you don't cancel blocked orders as a rule, you should not include the traffic lights in the calculation. |
Display filtered by deactivate |
Disables the calculation below the overview tables of how many results are displayed from all products. This calculation can lead to significant loading times with many data in the table and should therefore be disabled with the checkbox when there are several hundred thousand data in a table (e.g., items). |
Limit process starters: |
Maximum number X (Standard 3) |
Increase polling time |
On X seconds (Standard 5) |
Cancel query report |
To X seconds (Standard 300) |
