You can connect your Microsoft 365 email accounts to your Xentral with OAuth authentication. Generally speaking, the OAuth authentication is quick and easy to set up and provides a high level of security as you do not need to share your Microsoft credentials with Xentral.
You can set up new Microsoft 365 email accounts with OAuth authentication or change existing Microsoft 365 email accounts in Xentral from basic authentication (username and password) to OAuth authentication. In both cases, the procedure is very similar.
The basic workflow for connecting to your Microsoft 365 email account consists of four simple steps.

To get a detailed description of the workflow, read the procedure below.
Proceed as follows
-
Go to Administration > System > Email accounts.
-
Click +NEW.
Note
If you already have a Microsoft 365 email account set up in Xentral with basic authentication and want to switch to OAuth, you can click the
icon at the very right of the desired account in the list to edit this account in the Email account page that appears. You can skip a step and proceed with step 4.
-
In the Email account page that appears, enter the email address of your Microsoft 365 email account in the Email address field.
-
From the Connect with drop-down list, select Microsoft (O365).
The technical connection details such as SMTP and IMAP settings are filled in automatically with the standard settings for Microsoft 365. Therefore, in most cases, you do not need to specify or change anything in the Receive setting IMAP and Send SMTP Settings (Optional) sections.
Note
If you use a custom proxy for your mail service provider, make sure you adjust the IMAP server and port as well as the SMTP server, port and SSL settings accordingly.
-
Click Save at the top right.
The Connect account line appears below the Connect with drop-down list and makes the Connect button available.
-
Click Authorize.
The Microsoft Sign in page appears.
-
Follow the procedure to sign in to your Microsoft email account with your Microsoft 365 credentials. If you are already signed in to your email account, you will be automatically directed to the next step. In case you want to connect a different email account, you need to log out first.
Note
You need to grant Xentral access to your data in your Microsoft account on the side of your Microsoft account. If you do not grant permission, Xentral will not be able to retrieve emails from your Microsoft 365 account.
When finished, you will be directed back to the Email account page in Xentral.
-
Optional: In the Name displayed field, enter the desired sender name.
-
Optional: In the Only visible for employee field, enter the user for which the account shall be visible or click
to search for a user. You can leave the field empty, if the account shall be visible for every user of Xentral.
-
Click Save.
-
Click Test connection. If the connection has been set up correctly and the IMAP server can be reached, you will get a green success message in the message bar at the top.
Important
If the test fails and you get an error message, the most likely cause is that you try to connect a specific Microsoft 365 email account to Xentral while you are logged into another Microsoft 365 email account on the same computer.
Troubleshooting: Log out of your other Microsoft 365 email account on this computer.
You can view or revoke the connection details for your email account in the Authentications (OAuth) view. You can access it directly from the Email Accounts view.
Proceed as follows
-
Go to Administration > System > Email accounts.
-
In the list of email accounts, click the
icon at the very right of the desired account.
-
In the Email account page that appears, in the Email account section, in the Connected line, click Info.
-
In the OAuth Account page appears, you can view the OAuth details such as the Username, Provider, and Scope of the connection.
-
If you want to jump back to Email Account page, click the Module emailbackup button next to Connected with.
-
If you want to revoke the OAuth connection, click the Revoke authorization button next to Authorize.
Note
As an alternative, you can revoke the OAuth connection on the side of your Microsoft 365 account.
