To increase storage capacity, you can remove unnecessary data from xentral or export old data and save it on an external hard drive. Talk to all relevant people, such as your tax advisor or data protection officer, in advance to ensure that no important information is lost.
You can take several steps to free up storage space:

Under System Health you can get information about the server. There you will find a line about the storage space utilization. If it threatens to fill up completely, you should contact support immediately to request a storage expansion or an upgrade to the next higher cloud.

In the basic settings (Administration > System > Basic settings > Adjustment), you can activate the cleanup of the storage space. By decreasing the days, you can often free up additional disk space. The "cleaner" process starter must be activated for this to work.

If backups were also created, you can delete them in the Backup module. You may have to click the button several times until all backups are deleted.

The process starter "stock value" saves all stock levels including purchase prices every day. If you have a lot of products and a long period of time, the table can become quite large. If you do not need this, you can deactivate the process starter stock value calculation, then the table should no longer be filled.

In addition, you can delete old receipts / files that are no longer needed in the file browser.

Deleting files from the PDF archive is not possible for technical reasons.

The system log shows the most important / largest memory hogs.
In the module Systemlog in the tab PHP-Info (CLI) you can look yourself. It looks then e.g. like this:
As a rule, the user data is the largest part here, which can be reduced by deleting files in the file browser. But scripts and caches in the background also play a role.

In the system settings as of version 21.1 you can set whether each receipt should be displayed again in the attachment in addition to the entry in the PDF archive when it is sent:

Check the size of the stationery and the logo. If you can make them smaller, less space will be needed for all future receipts.

Deleting old emails (My space → Email) from the server
In the Email Archive you can archive emails or delete them automatically after a certain number of days:

Selection → Select "deactivated" or "activate archiving" from the drop-down menu

Delete emails → Specify the number of days after which the emails will be deleted. The value 0 or empty means that the emails are never deleted. The emails should either never be deleted or forwarded to a mailbox for archiving beforehand, so that the legal archiving is done completely in the webmail mailbox in parallel
Note
When messages are deleted from the email archive, they are deleted only in xentral. The messages will still exist in the email account.
