Each store interface of xentral allows a manual or automatic Order Import. You can set this up under Master data > Import/Export Center > Import (Export) > Arrow icon for the respective shop.
During import, the new orders are automatically posted to existing customers, or new customers are created. By means of the colored marking, it is recognizable whether a customer already exists in the database, or a similar customer was found, whose e-mail address matches an imported order.
A customer is recognized as existing during import (green marking) if the following data fields match:
-
Name
-
Email address
-
Department
-
Street
-
Postcode
-
City
If only one of the following data fields matches, a manual check is of the link is necessary (purple marking):
-
Name, or
-
Email
The colored markings mean the following:
-
Green: Customer found unambiguously. The data is identical to the values stored in the master data
-
Purple: Customer found based on the mail address, however, the customer has entered another address (at least there is a discrepancy)
-
Red: The customer has entered his customer number in the store (provided that the store supports this) > This number should be checked manually if necessary
-
Red store order number: The order has already been picked up, in which case the order is set to later
Note
When importing orders, Xentral takes the tax rates from the store settings and not from the master data in Xentral.
Basically, all orders that have the status open in the Shopbackend will be imported to xentral. Depending on the store interface, it is sometimes also possible to specify the status to be picked up yourself. A successful import or sorting of the order into the garbage will change the status in the store automatically. These orders will not be picked up in the future. A new collection is only possible if the status in the store is manually set back to open or the set status to be picked up. By scanning the parcel tag in the shipping center in xentral, the status of the store is set to shipped or completed.
Settings for the import process and synchronization with the online store are explained in this article in more detail.
