In this article, you’ll learn how to create user accounts in Xentral and how to assign the respective permissions.
Carry out the following steps to create a new user account.
-
Use the Smart Search to open the User module.
-
Click on + NEW in the upper right corner.
-
Enter the name of the user in the Name field.
-
Enter the email address of the user in the Email field. The address will later be required for the Xentral login.
-
Select an Account type for the user account. The available options are described in more detail in the table below.
Setting
Explanation
User
You can assign individual user rights to accounts of the type User. This allows you precise control of access to the modules and functions in Xentral.
Administrator
For user accounts of the type Administrator, all rights are activated by default and cannot be limited or removed. Thus, this type of user can use all modules and functions in Xentral without any limitation.
Light User
In principle, accounts of the type Light User are the same as accounts of the type User. However, there is a limitation of a maximum of 20 user rights that can be assigned per account.
-
Activate the option User is active.
-
Click on Save.
The user account is created in Xentral. An invitation is sent to the email address that you have entered in the Email address field. By clicking on a link in this email, the user is forwarded to Xentral and can then determine a password for their user account.
After you have created a user account, the next step consists of assigning the desired user rights.
-
Use the Smart Search to open the User module.
-
Open the user for which you want to assign rights by clicking on the pencil icon on the right.
Important
Note that assigning rights is not necessary for user accounts of the type Administrator. Administrators can access all modules and functions in Xentral by default.
-
Open the Rights tab.
-
Activate the rights that should be granted to the user account. Click on Set all to activate the rights of an entire group.
Note
There is no need to click on Save after assigning the rights. You can simply leave the menu as soon as you are done.
If you wish to assign rights for multiple user accounts, you do not need to do this separately for each account. Instead, you can use user templates for members of the same department or user group in Xentral. This is an easy way of granting identical rights to multiple users at once. More information on this is available in this article.
Tip
You can also transfer the rights of an individual user account to a second account. To do so, click on the download symbol to the right of the desired account in the user overview. A .json file containing all rights of the user is then downloaded. Proceed by opening the user that you want to assign these rights to and upload the .json file in the Upload rights file section.
